AI for construction site management: your day logged while you build

AI per Aziende is an Italian studio that builds custom AI tools for site managers, foremen and the owners of construction firms. Record a voice note at the end of the shift and the AI turns it into a daily log, adds quantities up for your next payment application, messages the crews and flags paperwork about to expire; you review and approve. The first step is a free 30-minute intro call.

Where the day goes

  • Daily logs written from memory at night

Crew hours, equipment on site, the pallets that turned up, the rain that stopped the pour: by evening you're piecing it all back together. Whatever doesn't get written down today turns into an argument with the client two months from now.

  • Pay applications built by chasing numbers

Quantities, photos and notes live across phones, group chats and notebooks. Pulling them into a payment application takes days, and every day it takes is a day your money arrives later.

  • Crews and subcontractors spread over several sites

Who's where tomorrow? Is the scaffolder in before or after the pour? Moves get sorted by phone and text, and one missed message leaves three people standing at a locked gate.

  • Compliance paperwork with dates everywhere

Every site has its safety plan, every subcontractor its insurance and documents, every worker training cards that expire. The dates sit in different spreadsheets and you notice one when it has already lapsed.

What the AI actually does

Daily logs from a voice note

The foreman sends a voice note or a message on WhatsApp or Telegram, and the AI turns it into a structured daily log: headcount, hours, work done, equipment, deliveries, weather and delays, with photos attached. It becomes your firm's own record, searchable by date and by site.

Example
5:30 pm at an apartment building going up: 'four of us today, slab over the ground floor finished, twelve pallets of blocks delivered, lost an hour to rain at eleven'. Two minutes later the log is ready for you to confirm.

Progress tracked against your contract items

Quantities logged day by day add up against the line items in your contract. When the next pay application is due you get a draft progress statement with completed quantities and reference photos, for you or your project engineer to check and sign.

Example
It's the end of the month and the pay application has to go out. Instead of recounting from notebooks you open the statement: plastering finished on the ground floor, screeds half done one level up, with Tuesday's photos.

Crew plans sent the evening before

Tell the assistant who goes where and when, and every worker or subcontractor gets a message the evening before with the address and the day's task. If the plan changes you change it once, and the updates go out after your OK.

Example
The concrete for the pour moves to Thursday. You change the date, the AI drafts messages for the formwork crew and the pump operator, you approve with one tap and nobody turns up on Wednesday for nothing.

One calendar for site paperwork

The dates that matter in one place: site safety plans, subcontractor documents, worker training and medical exams. The assistant warns you well ahead of time and tells you what's missing; the document itself is still prepared and signed by whoever is responsible for it.

Example
Monday morning's summary: two training certificates expire at the end of the month, and the new subcontractor still owes you a document. You know before they're on site, not after.

Replies to clients and supervisors, drafted from the logs

When someone asks how far you've got, when a phase finishes or what's been installed, the assistant drafts a reply from your real daily logs. No message goes out without your approval.

Example
At 7 pm the client's engineer asks for this month's pour dates. The assistant drafts the answer with the list pulled from the logs; you read it and send it without going back to the office.

Custom software for the gap in your process

Every firm has a step no app covers: an inherited spreadsheet, a check done by hand each Friday. We build that piece around the way you already work, because custom software is what we do.

Example
A firm running four sites wants to see every Friday how many hours went into each one against plan: we build an automatic Friday summary that goes straight to the owner's phone.

How we get started

Three steps, and the first one is a no-strings conversation.

  1. 1

    Free intro call

Thirty minutes online about one of your typical sites: who writes the logs, how pay applications get built, where hours disappear. We tell you where AI genuinely helps and where it doesn't.

  2. 2

A prototype on a live site

We build a first version using your contract items, your crews and the way your foremen already report. You try it on an open site before you commit to anything.

  3. 3

Rolled out across site and office

Foremen and office staff use it day to day, we adjust it together and keep it maintained. Every document and message heading outside the firm waits for your sign-off.

Why AI per Aziende

AI drafts, you sign off

Logs, statements and messages are always drafts. Nothing reaches clients, supervisors or suppliers until you have read it and approved it.

We write software, not just chatbots

Management tools, WhatsApp and Telegram bots, programs that work on business data: this is work companies hire and pay us for. We also run three industry management platforms we developed in-house.

Your project data stays with your firm

Information from your sites is used only to run your tools and never trains other models. The code and the instructions remain yours even if you stop working with us one day.

Frequently asked questions

How is AI used in construction site management?

The most practical use today is taking writing off the foreman and the office. AI turns voice notes and photos into daily logs, adds up quantities for draft progress statements, messages crews and tracks document expiry dates. It doesn't replace the site manager, the supervising engineer or the safety lead: it prepares the material, and the people responsible check it and sign it.

What is the best daily log app for construction?

It depends on how many sites you run and what slows you down. Plenty of off-the-shelf construction platforms include daily logs, scheduling and document storage, and they suit many firms. If your real problem is one specific step, like logs written late at night or pay applications that take days, a tool built around your process makes more sense. On the free intro call we tell you which route fits.

Can AI write construction daily reports for me?

It can draft them, and you stay the author. The foreman records what happened in a voice note or a short message, and the AI organizes it into headcount, hours, work done, deliveries, weather and delays, with photos attached. You read the draft, fix anything that's off and confirm it. Over time you build a dated record of every site that's easy to search.

Will AI replace my site manager?

No. A site manager makes judgment calls on safety, quality and sequencing that software shouldn't make. What AI removes is the typing and chasing around those decisions: logs, reminders, crew messages, progress figures. Your site manager spends less time at a keyboard in the evening and more time on site, and every output still waits for a person's approval.

Do I need to switch from my current construction software?

No, we start from how you work today. To be upfront, we don't currently plug directly into existing construction management software. We produce daily logs, quantity statements and hour summaries as PDFs, ready to hand to your office, your project engineer or your accountant, so your current setup keeps working alongside the new tools.

How much does AI for construction site management cost?

It depends on what we build: voice-to-log for one site is a different job from a system that tracks crews, pay applications and paperwork across several. So we quote each project on its own scope. On the free 30-minute intro call we work out what you actually need and give you a clear price before any work starts. If AI won't pay off for you, we say so.

How quickly can we get started?

After the call we build a prototype on the data from one of your live sites, and your crew tries it in the field before you decide whether to keep it. We set the timeline together after the call, based on what you need: starting with daily logs alone is simpler than bringing crews, pay applications and document tracking together.
